Tidewell cut off-contract buying by 61% across 23 distribution centers

“Our buyers used to email five people and hope. Now the request knows where it needs to go, and I see every commitment before the PO.”

Priya Natarajan, VP Procurement

The problem

Each distribution center bought packaging, maintenance and services on its own. About a third of spend went to vendors with no master agreement, and procurement found out at invoice time.

What changed

Tidewell started with intake: one form in Teams, with preferred vendors suggested by category. Site managers kept their approval rights, but every request now passed a contract check first.

Measured result

Off-contract purchases fell 61% over 14 months. Procurement consolidated packaging film from nine suppliers to three and used the volume to renegotiate.

Marlow Biologics brought request-to-PO from 11.6 days to 4.2

“Lab managers stopped asking me where their order was. The approval path answers that for them, with a name and a date.”

Daniel Okafor, Controller

The problem

Lab equipment and CRO contracts needed finance, quality and legal sign-off in sequence. A missing approver could hold a $40,000 order for a week.

What changed

Marlow moved to parallel approvals with a five-day SLA and delegation rules. Budgets sync nightly, so finance approves against live numbers.

Measured result

Median request-to-PO fell from 11.6 to 4.2 days. Because commitments are recorded on approval, accruals no longer wait for invoices.

Saltmarsh reworked $2.73M in renewals in its first year

“We found 19 contracts set to auto-renew at a 7 to 12 percent uplift. Most of them we did not need at that size.”

Rosa Lindqvist, Director of Strategic Sourcing

The problem

Contracts lived in three shared drives. Notice periods ran from 30 to 180 days, and nobody owned the calendar.

What changed

Saltmarsh loaded 640 signed contracts. Ordelle extracted terms, notice periods and escalators, and opened a renewal review 120 days ahead of each deadline.

Measured result

In twelve months the team renegotiated or cancelled $2.73M in renewals, and legal handled 47% fewer contracts through outside counsel.

Quintfield re-tiered 312 vendors in one quarter

“Before, every vendor got the same 200-question spreadsheet. Now the questionnaire matches the risk, and vendors answer in days instead of months.”

Marcus Hale, Chief Information Security Officer

The problem

Quintfield's security team reviewed every vendor the same way, from a clinic's coffee supplier to its imaging archive. Reviews took a median of 71 days.

What changed

Ordelle tiered vendors by the data they touch and sent questionnaires of 18, 41 or 96 questions. Findings got owners and exceptions got expiry dates.

Measured result

312 vendors were re-tiered in the first quarter. Questionnaire turnaround fell from 71 to 16 days, and 41 vendors moved into closer review.

Verrow replaced a shared inbox and three spreadsheets in five weeks

“We were too small for a big procurement suite and too big for an inbox. Ordelle fit the gap without a consultant.”

Ines Carvalho, Director of Operations

The problem

Requests arrived in a shared inbox, approvals lived in Slack threads, and renewals were tracked in a spreadsheet one person maintained.

What changed

Verrow used the Team plan's default policies, then added two custom routes for marketing agencies and freight.

Measured result

The team went live in five weeks and has handled about 140 requests a month since, with no missed notice dates.

Penhallow gave field crews a two-minute way to request equipment

“Crews request from the truck. By the time they are back at the depot, the order is approved or they know why not.”

Tom Aldana, Procurement Lead

The problem

Field crews bought tools and parts on personal cards and expensed them. Finance saw the spend weeks later, often for items already under contract.

What changed

Penhallow rolled out mobile intake with catalog suggestions from its three preferred distributors, and capped card spend for anything with a contracted vendor.

Measured result

Median time to file a request is two minutes, 38% come from mobile, and IT retired 17 duplicate software tools found through intake.
